Once he or she approves they can submit a ServiceNow case that includes the following information: the user, organization, requested role, and business justification.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>What options are there for accessing Workday via Duo?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">See this guide in the training library: <a href=\"https:\/\/media.clemson.edu\/workday\/training\/guide_-_use_duo_to_log_in_to_workday.pdf\">Use Duo to Log In to Workday<\/a>&nbsp; To enroll in Duo Authentication, please visit the <a href=\"https:\/\/www.clemson.edu\/ccit\/cybersecurity\/how-to\/duo-authentication.html\">Duo Authentication (2FA) at Clemson University.<\/a><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If faculty, staff or students have questions, need help updating their device or if their device cannot be upgraded, they can visit the CCIT Support Center on the second floor of Cooper Library, email ithelp@clemson.edu or call (864) 656-3494. CCIT can help you with other authentication options such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Platform authenticators like Windows Hello or Apple TouchID<\/li>\n\n\n\n<li>Passkeys in password managers like Keeper, 1Password or Google Password Manager&nbsp; Hardware token ($20 cost)<\/li>\n<\/ul>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Can Workday be set so that it does not log us out for inactivity?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Based on agreed Clemson security standards, 30 mins was deemed the appropriate level of acceptable risk for Workday timeout.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>I receive the following message when accessing some reports or initiating some tasks: \u201cAuthentication in progress: Your authentication has been initiated in a separate window or tab.\u201d&nbsp; What should I do?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Clemson has secured sensitive data with an additional authentication requirement for accessing this data. You should see a window appear asking you to enter your Clemson credentials and Duo code again. Enter the information requested and Workday will provide access to the data\/task you are requesting. You access to the data will time out after 15 minutes and you will need to reauthenticate.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Do students who are not employee by Clemson have access to Workday?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">No, only active employees have access to Workday.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Should I be able to see other employees\u2019 CU ID Numbers?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Yes, CU ID Numbers are not considered personal identifying information.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\">How do I know what security role(s) I have been assigned?<\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Budget Center Business Officers serve as the primary liaison for assigning security roles for their college or division, please contact them for this information.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>How do I determine what security role I need to be assigned, if I&#8217;m unable to perform and action or task required for my job?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">For each college and division, the BCBO is the primary liaison for Workday security. The BCBO can request an individual be assigned a security role and they are part of the approval process for updates to security assignments as appropriate.&nbsp; That request will route to the Workday Security team for a final decision. It is not based solely on an employee\u2019s name or business title. Because BCBOs determine the assignment of security roles, an incorrect or outdated role assignment may affect where a transaction is routed.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you believe a transaction was routed incorrectly:<\/p>\n\n\n\n<ol start=\"1\" class=\"wp-block-list\">\n<li>Review the transaction\u2019s Process History to see which role or organization received the task.<\/li>\n\n\n\n<li>Confirm that the information entered on the transaction\u2014such as the cost center, supervisory organization, or funding source\u2014is correct.<\/li>\n\n\n\n<li>Contact your BCBO if you believe a security role assignment needs to be reviewed.<\/li>\n\n\n\n<li>Submit a ServiceNow case if you need assistance with a specific transaction or business process. When submitting a case, include the transaction type, employee or transaction name, date submitted, and any relevant screenshots or Workday reference numbers.<\/li>\n<\/ol>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>A task I initiated was routed back to me, but its status is \u201cSuccessfully Completed.\u201d Do I need to do anything else?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Usually, no. A Successfully Completed status means that the business process has finished, and all required workflow steps have been completed.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Open the item and look for action buttons at the bottom of the page, such as Approve, Submit, Send Back, or Done.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>If no action buttons are available, no additional action is required.<\/li>\n\n\n\n<li>If an action button is available, review the item carefully to determine whether Workday is asking you to complete another step.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The item may appear in your notifications or inbox as confirmation that the process was completed rather than as a request for additional action.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Why does the Remaining Process section show approval steps that do not seem relevant to my transaction?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">The Remaining Process section may display every workflow step that could apply to that type of business process. It does not necessarily mean that every listed step will be required for your specific transaction.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Workday determines the actual routing based on factors such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The transaction type<\/li>\n\n\n\n<li>The employee or organization involved<\/li>\n\n\n\n<li>The funding source<\/li>\n\n\n\n<li>The cost center or organizational hierarchy<\/li>\n\n\n\n<li>The amount or other transaction details<\/li>\n\n\n\n<li>The security roles assigned to the applicable organizations<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Steps that do not apply to your transaction will typically be skipped automatically as the business process progresses.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Why am I unable to add another approver to a workflow?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Clemson\u2019s Workday configuration limits when users can add an ad hoc approver.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Currently, principal investigators may be added as ad hoc approvers within the expense workflow when applicable. Other business processes are not configured to allow users to add additional approvers.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Required reviewers and approvers are automatically determined by the business process configuration, security roles, organizational structure, and transaction details.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you believe a required individual is not included in the workflow, submit a ServiceNow case so the transaction and routing configuration can be reviewed.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Can I choose the person to whom a business process routes?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">No. Users cannot select a specific person to receive a Workday business process.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Workflow routing is automatically determined by factors such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Assigned security roles<\/li>\n\n\n\n<li>Funding source<\/li>\n\n\n\n<li>Supervisory or management hierarchy<\/li>\n\n\n\n<li>Cost center hierarchy<\/li>\n\n\n\n<li>Organizational assignments<\/li>\n\n\n\n<li>Transaction type and details<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">These routing rules are designed to support institutional accountability, internal controls, and compliance requirements.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If a transaction routes to the wrong person, the underlying security role or organizational assignment may need to be reviewed. Contact your BCBO or submit a ServiceNow case for assistance.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Why am I unable to start or complete an action for an employee who already has another action pending?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Workday may prevent a new transaction from being submitted when another transaction affecting the same employee or business object is still in progress.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, a pending staffing, compensation, expense, or organizational transaction may need to be completed, canceled, or rescinded before another related transaction can proceed.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To determine what is blocking the new action:<\/p>\n\n\n\n<ol start=\"1\" class=\"wp-block-list\">\n<li>Review the employee\u2019s or transaction\u2019s business process history.<\/li>\n\n\n\n<li>Identify any processes with a status such as In Progress, Awaiting Action, or Pending Approval.<\/li>\n\n\n\n<li>Select the pending process to see who currently has the next action.<\/li>\n\n\n\n<li>Contact the person or role responsible for completing that step.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">If the pending transaction is no longer needed, or if you cannot determine how to resolve it, submit a ServiceNow case and include the employee\u2019s name, the transaction you are attempting to complete, and the name or reference number of the pending process.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\">How can I see more details about an item in my My Tasks inbox?<\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Most tasks in your inbox are enabled so you can see additional details.  Click the <strong>gear<\/strong> icon at the top of the task in the reading pane and select view details. You are notified via email of a new task once. You will not receive reminders of outstanding task that have been in your My Tasks box for longer than 24 hours. If you complete the action within the 24 hours prior to the task being added to your list, it will not appear in your daily digest.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Why do some emails I receive from Workday provide little detailed information? How can I see more details?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Some emails you receive from Workday are status updates and typically do not include details. You can view additional details by logging into Workday navigating to the item, opening it and following the instructions below:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>For tasks<\/strong>: Select the task in your My Tasks list, click on the gear icon and select <strong>View Details<\/strong> (note: not all tasks have the gear icon)<\/li>\n\n\n\n<li><strong>For notifications: <\/strong>Select the item in your notifications list, click on the blue hyperlinked text to view the details.<\/li>\n<\/ul>\n\n\n\n<ol class=\"wp-block-list\">\n<li><\/li>\n<\/ol>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Why is a task in my My Tasks list after I have taken action on it?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">There are two possibilities:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Check the details of the task, it may be that a detail has been changed by the initiator or another approver. When details in a task change approval routing or other related tasks are retriggered resulting in the task appearing again in your My Tasks list.<\/li>\n\n\n\n<li>The item may be a \u201cTo-Do.\u201d&nbsp; After you complete the task, return to the item in your My Tasks list and click Submit to remove it from your list.<\/li>\n<\/ol>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Why am I receiving emails, notifications and\/or tasks that I do not believe I should be getting?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Most tasks and notifications are delivered\/assigned based on a security role assignment. If you do not believe you should be receiving emails, notifications and\/or tasks contact your BCBO (Cost Center Hierarchy Manager) about your security role assignments.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Why might I receive an email letting me know that there is a required action required <\/strong>I must take<strong>, but when I log in to Workday there is no task in my My Tasks list?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Most tasks and notifications are delivered\/assigned based on a security role assignment. If there is more than one person in a security role assigned to the same organization, anyone in that group will receive the task. The task will be removed from your My Tasks list once someone acts on the task.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>How can a remove a task from my My Tasks list that I do not need to act on?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">You cannot delete tasks; however, there may be options available so the task is no longer visible in your My Tasks list. To view the options, click on the gear icon in the top left corner of the task reading pane.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Options might include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Delegate Task \u2013 Allows you to delegate the individual task to a colleague. Please follow delegation guidelines when choosing this option.<\/li>\n\n\n\n<li>View Details \u2013 Allows you to view the details related to a business process. This is especially helpful when a task is triggered is a subprocess on a larger business process (i.e., costing allocation is a subprocess on the hire business process)<\/li>\n\n\n\n<li>Skip \u2013 Allows you to skip a task if the task is optional.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The following options are limited based on security. The amount also depends on the destination and the selected per diem type.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Why do per diem rules differ between grants or funds?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Per diem rules depend on the funding source. Some funds require State of South Carolina rates, while others use GSA rates. Confirm the applicable rule for the fund used on the expense report.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<h5 class=\"wp-block-heading\">Expense Reports<\/h5>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>On an expense report, once I enter the expense type of \u201clodging,\u201d the worktags disappear and I cannot edit or re-enter information. What do I do?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Itemization is required for lodging expenses. The worktags are entered on the itemization screen for the lodging expense. Once you select \u201clodging,\u201d as the expense item, the right side of the screen will display additional fields to complete as well as a section entitled <strong>Itemization<\/strong>. Select <strong>Edit <\/strong>to itemize the lodging expense. You will see worktag fields for each itemization populate. Those can be edited.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>How do I expense local mileage?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">On your expense report, select the expense item: <strong>Travel Personal Vehicle Mileage.<\/strong><\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>How can I correct, delete, or cancel an Expense Report in Workday?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">You cannot delete an expense report, however, you can cancel or correct an expense report. Navigate to <strong>My Expense Reports<\/strong> (enter in the Search field or use the <strong>Expenses Hub). <\/strong>In the table displayed, locate the expense report and select the <strong>Actions<\/strong> button. There you can choose to cancel or change the expense report. If the expense report has already been approved, the corrected report will route again to all approvers.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>How does an employee get reimbursed for travel they had approved prior to Workday?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Create a new expense report in Workday and include information in the memo field regarding the previous authorization completed before July 1, 2026.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>On an expense report, I keep getting an error to &#8220;select a payment type&#8221; despite having check selected. It&#8217;s also not allowing me to select direct deposit.<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">You must select direct deposit.&nbsp; However, in order to select direct deposit on an expense report, you must have entered in Workday Payment Election details, see this <a href=\"https:\/\/media.clemson.edu\/workday\/training\/guide_-_manage_payment_elections.pdf\">guide<\/a> for step-by-step instructions.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Why is an expense report charged to a grant routing to the Cost Center Hierarchy Manager?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">This approval is required if there is no spend authorization attached for travel or the expense is more than 60 days in the past. In these cases, the employee has violated the policy related to expense reimbursements and the manager\u2019s role is to determine that given the violation the employee should still be reimbursed.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>When are approved expense reports sent for reimbursement?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Payments are made on Tuesdays and Thursdays.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>If I have an expenditure that is non-tax, what do I need to select as the default tax code?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">On the transaction details line under <strong>Tax<\/strong>, you should be able to type <strong>Non-Taxable<\/strong> in the <strong>Tax Applicability<\/strong> box.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Is it possible to use a different hotel rate in an expense report?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Yes, you can do so on the itemization screen. Once you select <strong>lodging,<\/strong> as the expense item, the right side of the screen will display additional fields to complete as well as a section entitled <strong>Itemization<\/strong>. Adjust the number of days charged at one rate on one of the itemization forms and adjust number of days charged at another rate by selecting <strong>Add<\/strong> on the bottom of the itemization form.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>How can an end user process Guest Reimbursements?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">To reimburse any non-employee for expenses, use the <strong>Miscellaneous Payment<\/strong> <strong>Request<\/strong> task.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Can I change the company after starting a spend authorization or expense report?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">No. The company is locked when the event is created because Workday may create accounting activity behind the scenes. transactions?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">The Foundation Data Model (FDM) replaces Clemson\u2019s Chart of Accounts (CoA) and serves as the foundation for all transaction processing and reporting in Workday. The FDM is made up of worktags &#8211; keywords assigned to each transaction to identify and categorize it for budgeting, reporting and accounting. This creates a classification that allows information to be easily found, filtered, analyzed and summarized. Delegation allows individuals to authorize another employee to assist with tasks in one of two ways:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Start on My Behalf<\/strong> \u2013 This delegation option allows an individual to have a delegate initiate a task on their behalf (e.g., creating an expense report). A delegate can either save the task for the user\u2019s final review or submit the task for approval.<\/li>\n\n\n\n<li><strong>Do My Tasks on My Behalf <\/strong>\u2013 This delegation option allows a delegate to approve tasks on an individual\u2019s behalf (e.g., approving timecards). This option helps ensure important processes or workflows continue when you are temporarily out of the office or otherwise unavailable. If you choose to delegate this way, you will see a checkbox labeled \u201cRetain access to delegated tasks within My Tasks.\u201d Individuals are encouraged to keep this box checked, as unselecting it will remove their ability to do tasks on their own.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Faculty and staff should adhere to these best practices when utilizing Workday\u2019s delegation features.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Use delegation to ensure work continues. Limiting delegations to only necessary tasks helps prevent confusion and avoids overloading colleagues.<\/li>\n\n\n\n<li>When establishing a delegation, confirm with that colleague that they understand the responsibility you have asked them to perform and that they are willing to manage that responsibility.<\/li>\n\n\n\n<li>Delegating tasks should be done with thoughtful consideration and care. Time worked and time off are entered in separate locations. Time worked is entered through the time entry calendar, while time off is managed through the absence calendar. Workday also locks timecards automatically after the period closes; timekeepers do not complete a separate sign-off step to lock them.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<h5 class=\"wp-block-heading\">Time Entry by Employee Type and Situation<\/h5>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><tbody><tr><td><strong>Employee Type<\/strong><\/td><td><strong>Time Tracking Method<\/strong><\/td><\/tr><tr><td>Hourly nonexempt<\/td><td>Hourly nonexempt employees clock in and out each day so Workday can capture actual hours worked, overtime, and breaks. Employees are expected to clock out for breaks lasting longer than 15 minutes, meal breaks and they should clock out if they leave their work area\/site.<\/td><\/tr><tr><td>Salaried nonexempt<\/td><td>Salaried nonexempt employees enter the total number of hours worked each day. The timecard must also be approved by their manager so the holiday compensatory time can be recorded.<\/td><\/tr><tr><td>Graduate students (12 month salaried)<\/td><td>Graduate students who are 12 month salaried enter the total number of hours worked each day. This information is required for ACA reporting purposes and does not impact payroll. The timecard must be approved by their manager. <\/td><\/tr><tr><td>Contingent workers<\/td><td>Contingent workers do not enter time because they are not Clemson University employees and are not paid through payroll. Workers whose primary position is paid by lump sum also do not enter time.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>How does Workday manage a break of less than 30 minutes?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When an employee clocks back in after a break of less than 30 minutes, Workday displays a paid break time block for that day.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>What determines how an employee enters time when the employee has more than one position?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The employee\u2019s primary position determines the time-tracking method. Review the worker type, exemption status, and payment method associated with the primary position when determining whether the employee clocks in and out, records daily hours, or does not enter time.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>What should be done if an employee\u2019s secondary position requires time entry, but the primary position is paid by lump sum?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The positions may need to be reviewed, and the time-entry position designated as the primary position. Timekeepers should use reports and reminders to confirm that employees and managers complete their actions before payroll deadlines.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Can a timekeeper submit a timecard for an employee?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Yes. A timekeeper may submit time for an employee when necessary. The manager must still complete the applicable approval process.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Can a timekeeper correct an employee\u2019s missing or incorrect punch?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Yes. Before the period closes, a timekeeper can correct time when an employee reports a missed punch, an incorrect punch, or another time-entry issue. Managers can also make these corrections.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Who can edit a timecard after the pay period closes?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">After the period closes, employees, managers, and timekeepers can no longer edit the timecard. Only the central Payroll team can make post-close corrections.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<h5 class=\"wp-block-heading\">Time Off and Leaves of Absence<\/h5>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>What is the difference between time off and a leave of absence?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Time off is generally a short-term absence, such as a few hours or several days. It may use an employee\u2019s accrued balance and does not change the employee\u2019s active job status. A leave of absence is generally longer term, may be paid or unpaid, and changes the employee\u2019s status to On Leave.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>What are examples of time off?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Examples include annual leave, sick leave and court leave.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>When should employees submit time-off requests in relation to their timecards?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Employees should submit all applicable time-off requests before submitting the timecard at the end of the pay period. This allows approved time off to flow into the timecard so the employee can review and submit a complete record.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>What are examples of a leave of absence?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Examples include an extended medical absence or an FMLA-related leave.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>What absence-related actions can employees complete?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Employees can submit time-off requests, request a leave of absence, and request a return from leave. Employee self-service should be used whenever possible.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>What is the role of an Absence Partner?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Absence partners are the central HR staff members who support designated absence types, such as FMLA, PPL and family sick leave. They can enter or correct time off and initiate leave or return-from-leave processes on behalf of workers when required. Absence partners review and approve or deny requests for leaves of absence based on state and federal guidelines. Either individual can initiate or submit. This functionality was enabled on July 30, 2026, and applies to any hiring processes initiated on or after this date. Processes initiated before this date must be completed by the manager.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>How soon can a newly hired employee begin onboarding?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">When the hire process is completed, a task to set up onboarding is sent to the hiring manager and HR Liaison for completion. As soon as that task is completed, onboarding tasks for the employee are available in Workday. Note that new hires will not receive the onboarding tasks more than 14 days prior to their hire date.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>What onboarding tasks can the employee complete before the first day?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">The employee may be able to complete personal information, tax information, direct deposit, Social Security number information, I-9 information and other onboarding tasks before beginning work.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Should faculty supervisors be told that they have onboarding tasks?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Yes. Although HR Liaisons may now receive the same actions for newly initiated processes, managers and faculty supervisors should remain aware of their responsibilities and monitor their Workday tasks.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>What should I do if onboarding does not start after the hire is approved?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Check with the manager to ensure they have completed the Onboarding Set Up task. If they have and the onboarding tasks are not in the employee\u2019s My Task list, submit a <a href=\"https:\/\/clemson.service-now.com\/cu\">ServiceNow case<\/a> and include the names of all affected employees. This is especially important if the employees are not receiving I-9 or other required onboarding activities.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Why might onboarding not have started for employees converted from PeopleSoft?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Conversion processes were intentionally limited during the transition, so some onboarding processes may not have launched. Converted employees may already have completed documents, such as an I-9, but affected records should still be reviewed.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>How can an HR Liaison see where an employee hire is in the approval process?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">If the HR Liaison initiated the process, they can open the event from their Workday archive and select the Overall Process link. The process will usually appear as Hire: [Employee Name].<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The process history shows:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Completed steps<\/li>\n\n\n\n<li>Current pending steps<\/li>\n\n\n\n<li>The person responsible for the next action<\/li>\n\n\n\n<li>Any tasks awaiting action<\/li>\n<\/ul>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>How can I locate a hire process if I did not open it from my archive?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Search for the employee\u2019s name in Workday or My Tasks, filter the results by process and locate the employee\u2019s Hire event. Open the Overall Process view to see its status.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Are there reports for tracking onboarding?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Yes. HR Liaisons and managers can use onboarding reports, subject to their security access, to review:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Onboarding completion status<\/li>\n\n\n\n<li>Outstanding tasks<\/li>\n\n\n\n<li>The person responsible for each task<\/li>\n\n\n\n<li>The current process step(s) awaiting action<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Available reports include the <strong>CU Onboarding Status Details<\/strong> and the <strong>Onboarding Business Process Status Summary Report<\/strong>.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Will onboarding reports display all employee employees?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">The results are limited by the user\u2019s security access. For example, a report may display only employees within the user\u2019s college, department or assigned organization.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Can I permanently customize the People to Meet onboarding template?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">No. The <strong>People to Meet<\/strong> onboarding template cannot currently be customized for an individual user\u2019s preferences. This is a report that does not allow you to verify or edit any P-Card transactions.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>How do I request a P-Card?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Enter <strong>Create Request<\/strong> in the search bar and select <strong>New P-Card Request<\/strong>, complete the questionnaire and then select <strong>Submit.<\/strong><\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>How can I request changes to my P-Card (including increasing limit and cancelling)?&nbsp;<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Enter <strong>Create Request<\/strong> in the search bar and select <strong>P-Card Update Request<\/strong>, select <strong>the appropriate item <\/strong>for the question <em>&nbsp;What change are you requesting? <\/em>Complete the remaining items on the questionnaire and then select <strong>Submit.<\/strong><\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>How can I view P-Card transactions that have been verified or for which verification has already begun?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">In the <strong>search <\/strong>field enter <strong>My Procurement Card Transaction Verifications, <\/strong>hover over the magnifying glass on the far left of the item you want to edit, click the <strong>Related Actions<\/strong>, select <strong>edit<\/strong> if the status is <strong>Draft<\/strong>, select <strong>change<\/strong> if the status is <strong>In Progress<\/strong><\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>How can I complete a P-Card purchase that is for my department and that is for a chargeback to another department?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">If you are purchasing an item with your P-Card on behalf of another department, you will need to contact the department for the correct worktags to complete the verification.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>I can no longer see P-Card Transactions when I navigate to the Verify Procurement Card Transactions task. How can I view them?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">When a verification task has been started, the transactions are removed from the <strong>Verify Procurement Card Transactions <\/strong>report.&nbsp; You can view these transactions by entering <strong>My Procurement Card Transaction Verifications.<\/strong><\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>What should I do when trying to verify a Procurement Card transaction and getting a tax error? &nbsp;<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Under default tax option, you&#8217;ve selected <strong>Calculate Self-Assessed Tax<\/strong>, which is asking the system to calculate tax for you if it wasn&#8217;t added. If you remove that selection and choose none, the error should be removed.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Why does an end user&#8217;s Procurement Card Transaction Verifications have &#8220;(Do Not Use)&#8221; beside it? &nbsp;<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">This is an indication that this report will be replaced by Workday in an upcoming release. If the report is available to you, you can use it.&nbsp;<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Can the P-card be used at stores that are available for punchouts in Workday, or is it required to use the punchout functionality in Workday?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Please use the punchout functionality unless your purchase is an emergency or there is a price discrepancy between the punchout price and the in-store price.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>What is the difference between the three P-Card transaction reports?<\/strong><\/h5>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>My Procurement Card Transactions<\/strong> is for viewing charges.<\/li>\n\n\n\n<li><strong>Verify My Procurement Card Transactions<\/strong> is where verification starts.<\/li>\n\n\n\n<li><strong>My Procurement Card Transactions Verification<\/strong> contains verification events that were started and then saved or left before completion.<\/li>\n<\/ul>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>What should I do if an approved spend authorization has the wrong worktags?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">If the approved spend authorization cannot be corrected or unassigned for the needed worktags, create a new expense report with the correct worktags instead of forcing the incorrect authorization onto the report.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Why did my P-Card verification route to an unexpected approver?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">P-Card routing follows the security role assigned to the supervisory organization, such as the Expense Data Entry Specialist (Supervisory). If the assignment is wrong, the Cost Center Hierarchy Manager must request the role correction.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>Are receipts required for P-Card transactions under $25?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">Yes. The policy did not change.  <\/p>\n\n\n\n<h5 class=\"wp-block-heading\"><strong>How does a delegate verify another employee\u2019s P-Card transactions?<\/strong><\/h5>\n\n\n\n<p class=\"wp-block-paragraph\">The cardholder must delegate initiation of the P-Card verification process. The delegate then switches to the cardholder\u2019s account and starts Verify P-Card Transactions. This work does not automatically appear in the delegate\u2019s My Tasks inbox.
