It is not based solely on an employee’s name or business title. Because BCBOs determine the assignment of security roles, an incorrect or outdated role assignment may affect where a transaction is routed.

If you believe a transaction was routed incorrectly:

Review the transaction’s Process History to see which role or organization received the task.

Confirm that the information entered on the transaction—such as the cost center, supervisory organization, or funding source—is correct.

Contact your BCBO if you believe a security role assignment needs to be reviewed.

Submit a ServiceNow case if you need assistance with a specific transaction or business process. It does not necessarily mean that every listed step will be required for your specific transaction.

Workday determines the actual routing based on factors such as:

The transaction type

The employee or organization involved

The funding source

The cost center or organizational hierarchy

The amount or other transaction details

The security roles assigned to the applicable organizations

Steps that do not apply to your transaction will typically be skipped automatically as the business process progresses.

Why am I unable to add another approver to a workflow?

Clemson’s Workday configuration limits when users can add an ad hoc approver.

Currently, principal investigators may be added as ad hoc approvers within the expense workflow when applicable. Other business processes are not configured to allow users to add additional approvers.

Required reviewers and approvers are automatically determined by the business process configuration, security roles, organizational structure, and transaction details.

If you believe a required individual is not included in the workflow, submit a ServiceNow case so the transaction and routing configuration can be reviewed.

Can I choose the person to whom a business process routes?

No. Users cannot select a specific person to receive a Workday business process.

Workflow routing is automatically determined by factors such as:

Assigned security roles

Funding source

Supervisory or management hierarchy

Cost center hierarchy

Organizational assignments

Transaction type and details

These routing rules are designed to support institutional accountability, internal controls, and compliance requirements.

If a transaction routes to the wrong person, the underlying security role or organizational assignment may need to be reviewed. Salaried non-exempt employees are eligible for overtime and hourly employees’ are also eligible for overtime; their pay is determined by the number of hours they work. For these two groups tracking the hours worked each day and pay period is important. See below for information about time tracking for each group.

Hourly employees track their time by checking in and checking out in Workday. Hourly employees clock in at the start of their workday, after breaks and after meals. They clock out at the start of a break or meal and at the end of their workday. There are buttons in the desktop and mobile application for employees to check in and out. Time is submitted weekly and/or at the end of each pay period.

Salaried non-exempt employees track their time via a Time Entry calendar. On this calendar in Workday, they record their work hours or confirm that they are working their assigned schedule. Changes to the schedule or time blocks in the calendar are made manually. If an employee takes a partial day off, they must adjust their time block on the calendar accordingly. Time is submitted weekly and/or at the end of each pay period.

Salaried exempt employees and Faculty do not track their time UNLESS they work during a holiday. In that case, the employee should record their time on their time entry calendar and submit that time for the pay period in which the holiday occurred to ensure it is recorded as a holiday worked.

Do I request time off by adding it to my Time Entry calendar?

No, there is a specific process for requesting time off. See the guides/webinars in the Workday Training Library for more help. Enter Time Off in the search filter.

Once you submit your time off, it will appear on your time entry calendar. If you are a salaried non-exempt employee make sure you adjust your work hours accordingly. Once the time off request has been approved, it will turn green on your entry calendar. When you submit your time for the pay period, the time off is recorded against your balances.

Who receives notification of missed time punches?

Managers or supervisors receive notification as well as the Timekeeper for your organization.

Once I submit and my time is approved can changes still be made?

Time entries in the current open pay period can be changed after submission and approval. Update your time entry on the calendar and resubmit for re-approval.

Why do some employees not see clock-in, clock-out, or time-entry buttons?

Only hourly employees will see the clock-in (Check-In), clock-out (Check-Out) buttons. Salaried nonexempt employees who are eligible for overtime and are not hourly will see the time entry buttons.

If I work extra hours during the week to have less time on another day, do I still log 7.5 hours every day, or do I add the extra hours on the days I worked them?

No, you would not log 7.5 hrs. across the board every day. Time worked entered in Workday is an official record of when you spent time working. You would need to adjust the time worked on the day that you worked less than 7.5 hours and add the hours that you worked to offset the difference on the day that you worked.

How can a manager/timekeeper enter time for an employee who is unable to enter time?

Please see the guide in the Workday Training Library entitled Manage and Approve Employee Time (for Managers)

Can a manager view timecards for all employees in the reporting hierarchy or only direct reports?

Managers can only see time entries for their direct reports. Workday will replace systems like Peoplesoft HR and Finance, Kronos and more, therefore, the University and related organizations will need to transition from those legacy systems to Workday. This transition phase, which includes moving data, business processes and more, is called cutover.

Cutover is vital for a smooth transition to Workday. Like moving to a new house — you’ll need to turn off the utilities at the old house before you leave, and you can’t start unpacking until you’ve signed the papers at closing. You may even have to stay in a temporary location until your household goods arrive. Ultimately, the staff hiring process will enhance the onboarding experience for new employees and will equip managers with practical tools to support their hires, making the entire hiring process more efficient and transparent.

The demo in the session demonstrated the staff hiring process in Workday from start to finish. Specifically, it showed:

how to create a job requisition for an unfilled position

how to auto-populate and edit job details

assignment of recruiters

submission through approval steps

how the position information flows seamlessly into subsequent stages.

The demonstration then shifted to the hiring manager’s perspective, showing how to review candidate applications, progress them through interview stages, extend offers, and ultimately finalize the hiring process, where Workday automatically creates the worker profile for the new hire. Over 150 participants followed along with most attendees’ feedback agreeing that the functionality demonstrated in this session will make their work easier.

Introduction to Workday:

Workday is a cloud-based ERP software system that unifies HR, finance and other operational data into one centralized platform.

Demo of Workday Staff Hiring Features:

Creating a Job Requisition: Hiring managers initiate a job requisition in Workday to fill an open position. Key information, such as job details and required approvals, is entered and can be auto-filled or customized, as needed. The requisition routes through the appropriate approval steps before a recruiter posts the job.

Candidate Application Review: Once candidates apply, all application information appears in a consolidated candidate profile within Workday. Hiring managers can easily review candidate details and track their stage in the process directly from the recruiting dashboard.

Interview Coordination: Hiring managers (or designated team members with the right permissions) can coordinate and schedule interviews within Workday. After interviews, each interviewer receives a task to enter their evaluation ratings for the candidate directly in the system.

Making an Offer: When a candidate is selected, the hiring manager initiates a verbal offer, and upon acceptance, the recruiter triggers a background check in Workday. After clearing the check, the official offer letter is generated and finalized within the platform.

Hire Process: Following offer acceptance, the system prompts the candidate to enter personal identification information. Workday then notifies the HR liaison to complete the hire, auto-populating key data from previous steps for accuracy. After final approval, the candidate’s profile is converted into an employee (worker) profile automatically, reducing manual steps and streamlining access setup.

Transition Details:

Workday will go live in July 2026.

Training will be provided closer to the go-live date to ensure all employees are confident using the new system.

A recorded version of the Staff Hiring session is available for those who were unable to attend or who wish to revisit the content.

The session concluded with reminders to follow the Workday@ Clemson website for updates, invite colleagues to upcoming sessions, and to submit questions and comments via email to Workday@Clemson.edu.

Frequently Asked Questions:

Question: What is the first step in the staff hiring process for Workday?

Answer: When Workday goes live, we still expect conversations about hiring and staffing to take place prior to initiating the process in the system. Once those conversations take place and your ready to initiate the process, the first step is creating a job requisition The requisition enables posting of the job to the career site and collection of candidate applications, after which the hiring manager reviews applications and conducts interviews, all within Workday.

Question: Will new hires automatically get the access they need for their roles?

Answer: Yes, roles in Workday are tied to positions, so when a new hire is placed into a position, they automatically receive the correct access for that role as part of their onboarding process.

Note: For some roles within Workday, there may be required training prior to a security role being assigned. At a minimum every new hire will receive access to Workday with employee-as-self role assigned.

For a full list of upcoming sessions and links to recordings of past sessions visit the What’s Up With Workday webpage.

The December 2025 “What’s Up With Workday?” session covered staff hiring.
