Time Tracking and Approval Fast Facts

Who needs to submit time worked and how do they do it?

At Clemson there are three primary groups of employees: hourly, salaried non-exempt, and salaried exempt. Salaried non-exempt employees are eligible for overtime and hourly employees’ are also eligible for overtime; their pay is determined by the number of hours they work. For these two groups tracking the hours worked each day and pay period is important. See below for information about time tracking for each group.

  • Hourly employees track their time by checking in and checking out in Workday. Hourly employees clock in at the start of their workday, after breaks and after meals.  They clock out at the start of a break or meal and at the end of their workday. There are buttons in the desktop and mobile application for employees to check in and out. Time is submitted weekly and/or at the end of each pay period.
  • Salaried non-exempt employees track their time via a Time Entry calendar. On this calendar in Workday, they record their work hours or confirm that they are working their assigned schedule. Changes to the schedule or time blocks in the calendar are made manually. If an employee takes a partial day off, they must adjust their time block on the calendar accordingly. Time is submitted weekly and/or at the end of each pay period.
  • Salaried exempt employees and Faculty do not track their time UNLESS they work during a holiday. In that case, the employee should record their time on their time entry calendar and submit that time for the pay period in which the holiday occurred to ensure it is recorded as a holiday worked.
Do I request time off by adding it to my Time Entry calendar?

No, there is a specific process for requesting time off. See the guides/webinars in the Workday Training Library for more help. Enter Time Off in the search filter.

Once you submit your time off, it will appear on your time entry calendar. If you are a salaried non-exempt employee make sure you adjust your work hours accordingly. Once the time off request has been approved, it will turn green on your entry calendar. When you submit your time for the pay period, the time off is recorded against your balances.

Who receives notification of missed time punches?

Managers or supervisors receive notification as well as the Timekeeper for your organization.

Once I submit and my time is approved can changes still be made?

Time entries in the current open pay period can be changed after submission and approval. Update your time entry on the calendar and resubmit for re-approval.

Why do some employees not see clock-in, clock-out, or time-entry buttons?

Only hourly employees will see the clock-in (Check-In), clock-out (Check-Out) buttons. Salaried nonexempt employees who are eligible for overtime and are not hourly will see the time entry buttons.

If I work extra hours during the week to have less time on another day, do I still log 7.5 hours every day, or do I add the extra hours on the days I worked them?

No, you would not log 7.5 hrs. across the board every day. Time worked entered in Workday is an official record of when you spent time working. You would need to adjust the time worked on the day that you worked less than 7.5 hours and add the hours that you worked to offset the difference on the day that you worked.

How can a manager/timekeeper enter time for an employee who is unable to enter time?

Can a manager view timecards for all employees in the reporting hierarchy or only direct reports?

Managers can only see time entries for their direct reports. The Timekeeper for the supervisory organization can see all employees’ time entries in the supervisory organization(s) for which they are assigned as the timekeeper.

What do I do if I notice that my time off and leave balances in Workday are incorrect?

Submit a ServiceNow Case and include the leave type, expected balance, and supporting documentation.

Why is my family sick time balance not displayed in Workday?

The state of South Carolina allows up to 10 days of sick leave per year to be taken as family sick leave. Because family sick leave has always come from your regular sick leave balance, Workday includes family sick leave in the total accrual for an employee’s sick leave category, while Kronos separated sick leave and family sick leave into different balances. While this was displayed separately in Kronos, any takings from the family sick leave were also deducted from the total sick leave balance. The time previously showing as available sick leave family is now included in available time for sick leave. Employees had no negative impact to balances. Eligible employees may continue to use up to 10 calendar days per year from their accrued sick leave for family sick leave purposes. Workday tracks this usage and will not allow an employee to use more than 10 days of this leave per year.

How Can I View My Approved FMLA Absence and Time Off Associated with My FMLA?
  1. From the left-side menu, select Personal.
  2. Open the Time Management Hub.
  3. Select Manage Absence.
  4. On the right side of the screen a panel showing balances including FMLA displays.
  5. Select Requests to the right of Balances to view your approved leave requests.

It’s important to note that employees can only view available time associated with FMLA if they have an approved or pending FMLA request. An employee who has not requested or is not using approved FMLA will not show an FMLA leave balance.

Where can I see my annual leave taken so far this calendar year?
  1. From the left-side menu, select Personal.
  2. Open the Time Management Hub.
  3. Absence balances display in the center of the screen.
  4. Click View Report in the lower left corner of the screen to view additional details.
What leave types are available for student hourly workers?

The only leave that applies to student hourly workers is the military leave.

Why can I see other employees on the Absence Calendar?

The Workday Team Calendar (often called the Team Absence Calendar) allows your manager to view approved vacations, sick days, and company holidays across your team to optimize coverage. It allows employees to easily view personal time-off balances, submit new requests, and see when teammates will be unavailable. No personal reasons are visible related to the leave.

When should a manager receive notifications for leave requests?

The manager should receive a task to approve leave requests in their My Tasks list in Workday.  They will also receive a daily digest from Workday via email that lists these tasks.

Why are there small differences in my leave balances in Workday compared to Kronos?

The difference is due to the change from time calculations based on hours in Kronos to decimals in Workday.

Why is there no optional holiday for 2026 in Workday?

We do not have an optional holiday this year because it is an election year.

How do managers approve time off retroactively?

To adjust or approve leave outside of the current pay period in Workday, managers must process it as a retroactive time off correction or contact Payroll Time Tracking via ServiceNow.

How will jury duty be recorded in Workday?

The time off type for jury duty is called Court Leave in Workday.

How can I cancel or recall a time off entry?
  1. From the left-side menu, select Personal.
  2. Open the Time Management Hub.
  3. Select Manage Absence.
  4. Navigate to the date of the time-off entry.
  5. Select the absence entry, then choose Cancel Absence.
  6. Enter a comment if prompted and submit the request.
How can I check my leave accrual rate?
  1. Access your worker profile in Workday (click the person icon in the top right corner of the screen).
  2. Under your name, click the Actions button.
  3. From the Actions menu, select Time and Absence.
  4. Click View Time Off Balance.
  5. On the Time Off Balance screen, select the desired Date of Accrual (hint accruals are posted on the 22nd of each month).
  6. Click OK to view accrual information for the selected date.
  7. Select OK to display the leave accrual balance information.
  8. Review the leave accrual amounts displayed for the select date.
  9. Click the calendar/date icon/gear within the balance screen.
  10. You can change the date to a future month.
  11. Review the projected accrual amount for that month.
I submitted time off in Kronos before July 1, 2026 which was approved, but it is not in Workday. Do I need to resubmit my request?

Yes. Please re-enter the leave requests in Workday. Future dated approved leave that did not transfer from Kronos to Workday was not debited from leave balances.

How do I change my Ship To/Deliver To address on a requisition?

All users should be able to change their “Ship To / Deliver To” addresses on a requisition. The “Deliver To” address is sent to the supplier and should be the primary address users confirm is correct to ensure delivery of their items. The “Deliver To” address has more details to support delivery (room/office numbers/floor number).

Please take the time to find the correct “Deliver To” address and use that.  Change “Deliver To” on the Create Requisition page (Edit Details button) or on the requisition line item itself.

All users are assigned a default address/location in their profile which is the default “Ship To” address when a user places a requisition. If you need to change the “Ship To” address in your profile permanently or it is not correct, submit a ServiceNow case using the “I have a general HR question” form to modify that.  Based on recent configuration changes, the “Ship To” field does not impact what is sent to the suppliers.

How can I find a supplier invoice in Workday?

To find any supplier invoice in Workday, use the “Find Supplier Invoices” report. Enter the Company (or leave blank for all). Then, remove the automatically populated date in the “Invoice Date On or After” field and enter today’s date in the “Invoice Date On or Before” field to pull all invoices currently in Workday.  Once you pull the report, it can be filtered by supplier (or other desired fields) to find invoices.

To view invoices that require review, use the report named “CU Find OCR Supplier Invoices Requiring Review.” This will only pull OCR invoices in Draft status that will require review/updates before they continue through the workflow

How can I request a new supplier?

Enter Create Request in the search field and select Supplier Request from the Request Type list. Complete the questionnaire and select Submit. If you do not see Supplier Request in the dropdown then you are not assigned the Accounts Payable Data Entry Specialist security role.

The more information you include, the better! Complete supplier requests are much easier and faster to process. When completing the request, include what you’re buying, an estimated dollar amount, whether it’s a one-time or recurring need, and any additional information. Supplier registration works differently in Workday, so after the request is approved, you won’t see status updates until the supplier is fully approved and active in Workday.

What reports can I use to review spend authorizations and expense reports?

In Workday, search for Find Spend Authorization Lines for Organization or Find Expense Report Lines for Organization to review transactions for your organization.

How can I ensure a requisition related to a workorder routes to Facilities for approval?

Workorder worktags ensure correct routing.

How are vendors/suppliers paid through Workday?

Suppliers/vendors are sent an email inviting them to complete a registration process in Workday in order to be paid electronically. Until they complete that process they are paid via check.

I need to pay an invoice with a CUF account that would have been paid on the CUF business unit in Peoplesoft?

Invoices for CUF can be entered manually using Create Supplier Invoice task.

Can the P-card be used at a stores that are available for punchouts in Workday, or is it required to use the punchout functionality in Workday?

Please use the punchout functionality unless your purchase is an emergency or there is a price discrepancy between the punchout price and the in-store price.

Why do I have to select a Spend Category?

Spend Categories are KEY to Workday’s workflow, tax, procurement reasons options (i.e. exemptions), PO/non-POs, and Miscellaneous Pay Requests. When selecting a Spend Category, explore all available options to find the best one to fit the purchase, and refrain from defaulting to the first category that comes to mind (i.e. Contract Services). Selecting different Spend Categories may open different functionalities, change workflows, or change taxes, among other things. Spend category definitions and uses are available in the Worktag Glossary.

How did I request a new spend category?

Enter Create Request in the search field and select FDM Element in the Request Type, complete the questionnaire and select Submit.

How can I pay a direct expenditure bill?

for a non-PO invoice, use the Create Supplier Invoice task to process an invoice that pays a bill similar to a utility. You can continue to use the Create Supplier Invoice task for these types of invoices. The Miscellaneous Payment Request task used in cases of non-supplier payments or refunds.

When trying to submit a change order to a PO I’m unable to change any of the lines, why is that?

If the invoice is pending changes cannot be made on lines.

How does BuyWays work with Workday when creating a requisition?

Start the requisition in Workday, follow the link to BuyWays to shop punchout catalogs, and then return to Workday. The transaction starts and ends in Workday so a full transaction record is available there.

How should end users pay an invoice from an approved Purchase Order?

Invoices need to be submitted to the OCR for POs.

When completing a requisition for software or software maintenance should I select Good or Service?

Due to accounting rules, these types of purchases are considered Goods.
