Procurement Card (P-Card) Fast Facts

How can I view my P-card charges?
  1. Navigate to the Personal menu item on the left side of the screen.
  2. Select Expenses Hub.
  3. Select Procurement Card.
  4. Select My Procurement Card Transactions.

You can also enter My Procurement Card Transactions in the search field in Workday.  This is a report that does not allow you to verify or edit any P-Card transactions.

How do I request a P-Card?

Enter Create Request in the search bar and select New P-Card Request, complete the questionnaire and then select Submit.

How can I request changes to my P-Card (including increasing limit and cancelling)? 

Enter Create Request in the search bar and select P-Card Update Request, select the appropriate item for the question  What change are you requesting? Complete the remaining items on the questionnaire and then select Submit.

How can I view P-Card transactions that have been verified or for which verification has already begun?

In the search field enter My Procurement Card Transaction Verifications, hover over the magnifying glass on the far left of the item you want to edit, click the Related Actions, select edit if the status is Draft, select change if the status is In Progress

How can I complete a P-Card purchase that is for my department and that is for a chargeback to another department?

If you are purchasing an item with your P-Card on behalf of another department, you will need to contact the department for the correct worktags to complete the verification.

I can no longer see P-Card Transactions when I navigate to the Verify Procurement Card Transactions task. How can I view them?

When a verification task has been started, the transactions are removed from the Verify Procurement Card Transactions report.  You can view these transactions by entering My Procurement Card Transaction Verifications.

What should I do when trying to verify a Procurement Card transaction and getting a tax error?  

Under default tax option, you’ve selected Calculate Self-Assessed Tax, which is asking the system to calculate tax for you if it wasn’t added. If you remove that selection and choose none, the error should be removed.

Why does an end user’s Procurement Card Transaction Verifications have “(Do Not Use)” beside it?  

This is an indication that this report will be replaced by Workday in an upcoming release. If the report is available to you, you can use it. 

Can the P-card be used at stores that are available for punchouts in Workday, or is it required to use the punchout functionality in Workday?

Please use the punchout functionality unless your purchase is an emergency or there is a price discrepancy between the punchout price and the in-store price.

What is the difference between the three P-Card transaction reports?
  • My Procurement Card Transactions is for viewing charges.
  • Verify My Procurement Card Transactions is where verification starts.
  • My Procurement Card Transactions Verification contains verification events that were started and then saved or left before completion.
What should I do if an approved spend authorization has the wrong worktags?

If the approved spend authorization cannot be corrected or unassigned for the needed worktags, create a new expense report with the correct worktags instead of forcing the incorrect authorization onto the report.

Why did my P-Card verification route to an unexpected approver?

P-Card routing follows the security role assigned to the supervisory organization, such as the Expense Data Entry Specialist (Supervisory). If the assignment is wrong, the Cost Center Hierarchy Manager must request the role correction.

Are receipts required for P-Card transactions under $25?

Yes. The policy did not change.

How does a delegate verify another employee’s P-Card transactions?

The cardholder must delegate initiation of the P-Card verification process. The delegate then switches to the cardholder’s account and starts Verify P-Card Transactions. This work does not automatically appear in the delegate’s My Tasks inbox. See the guide entitled Perform Delegated Tasks for more information.
